A task template is a reusable set of tasks for a workflow. Apply it to a project and its tasks are added with due dates based on the project's dates. Available on Starter, Professional and Suite.
Owners, Managers and Admins can create and edit task templates. Users can apply them.
Create a task template
- Open any project on your calendar and go to its tasks section.
- Click the vertical ellipsis and select Task Template.
- Click +Create New.
- Choose how the template schedules its tasks (see below), then click Next.
- Add tasks to the template in the Task Template editor. To keep tasks on weekdays, tick Ignore Weekends.
- Close the editor when you're done. Changes save automatically.
How template tasks are scheduled
- Based On When The Project Publishes: the default. Each task is scheduled from the project's publish date. Best when you're working toward a deadline.
- Based On When The Project Begins: each task is scheduled from the project's start date. Best when you work from a start date without a set deadline.
You can't insert a task between other tasks or duplicate a task inside the editor.
Task templates can't be duplicated. Duplicate from... in the template list copies the tasks from another project instead.
Apply a task template to a project
- Open the project and go to its tasks section.
- Click the vertical ellipsis and select Task Template.
- Click the template you want to use, then click Apply.
The template's tasks are added to the project. Assignees are notified when the template is applied, not before.
Edit a task template
- Open any project on your calendar and go to its tasks section.
- Click the vertical ellipsis and select Task Template.
- Click the pencil icon next to the template's name.
- Make your changes in the Task Template editor, then close it. Changes save automatically.
If you don't see the pencil icon, your role can't manage task templates.
Editing a task template doesn't change projects that already have it applied.
Delete a task template
- Open any project on your calendar and go to its tasks section.
- Click the vertical ellipsis and select Task Template.
- Click the pencil icon next to the template's name. The Task Template window opens.
- In the window's header, click the menu (its tooltip reads "Additional Options").
- Choose Delete.
