Tasks break work into steps and show who does each one by when. You can add tasks to a project, create a standalone task on the calendar, or keep personal tasks on your Home page. Available on Starter, Professional and Suite.
Add a task to a project
- Open the project and go to its tasks section.
- Click in the New Task field and enter the name of the task.
- Click +Schedule to add a due date.
- Click +Assign to assign the task to a team member. If a name already shows, click it to unassign the task or choose someone else.
- Press Enter to save the task.
You assign tasks one at a time. There's no way to assign several tasks at once.
Due dates and Smart Rescheduling
A project task's due date can be relative to the project's date, such as one day or one week before it. When the project moves, Smart Rescheduling moves its tasks with it. Custom dates also move when the project moves, unless you tick Disable Smart Rescheduling on the task.
Advanced options
After you save a task, hover over it and click the arrow to open Advanced Options. There you can add a description, start a discussion, tick Disable Smart Rescheduling, choose to ignore weekends, or delete the task.
Sort, reorder and delete tasks
- New tasks are added to the bottom of the project's task list.
- To reorder a task, hover over it, click the three lines and drag it to a new spot.
- To sort tasks, or to delete several tasks at once, click the vertical ellipsis at the top of the tasks section.
- To see the Task Burn Up Chart, click the task progress bar at the top of the tasks section.
Create a standalone task on the calendar
A standalone task sits on the calendar without a project.
- On the calendar, click +Create.
- Click More Options, then click Task.
- Enter the name of the task, set a due date and add a color label if you need one.
- Click Create.
- Add a discussion if you need one, then click Close.
Create a personal task on your Home page
Personal tasks are for your own to-do list. Only you can see them, and they don't show on the calendar.
- On your Home page, click +New Task.
- Enter the name of the task, then press Enter.
To remove a personal task, tick it to mark it finished. To make a personal task repeat, see Set up recurring tasks.
Who sees tasks and who gets notified
- Project tasks and standalone tasks show on the calendar. Other team members see them depending on their role.
- Team members are notified about a task only when someone else assigns it to them. The notification goes to their email and their Home page. See Manage notifications and unsubscribe from emails.
Find overdue tasks
- Your Home page lists only tasks assigned to you. Unassigned tasks don't show there, even when they're past due.
- On Suite, the Team Management Dashboard shows each team member's tasks with no due date and past due tasks when you tick No Due Date and Past Due at the top of the dashboard. See Use the Team Management Dashboard.
- On Suite, the Team Performance Report counts overdue tasks for the date range you choose. See View the Team Performance Report.
